Thailand and Vietnam DMC - trade pack and net rates

Download our capability pack and a full library of sample itineraries. Net rates issued on partner registration.

Licensed in both countries

Pai Dai trades through two licensed companies, one in Thailand and one in Vietnam, and works with licensed guides in both. Each quotation names the company you contract with, the services in each country and the contacts during travel. Thai operations run under Tourism Business Licence 11/13335, issued by the Department of Tourism.

Net rates on registration

A net rate is your buying price from us. It can include our operating margin, and you set the selling price. Issued on registration, which costs nothing and carries no annual fee, no minimum volume and no exclusivity. Quoted per brief, with the currency and tax treatment stated in each quotation.

Quotation timing

After we receive a complete brief, we provide a costed quote by the same time on the next business day. Complex multi-country or peak-season requests may take longer; we state the revised deadline when we acknowledge the request. Include destinations, dates, passenger numbers, rooming split, hotel level and the services required.

What the pack is, and what it is not

The questions agencies ask us at exactly this point. Each answer stands on its own.

What is in the Pai Dai DMC trade pack?

The pack is a capability document plus a library of sample itineraries you can download individually. The capability side covers who we are, the destinations we operate in Thailand and Vietnam, the licences we hold, the group sizes we handle, and how a programme runs from brief to final airport drop-off. The itinerary library holds eleven programmes, eight in Thailand, two in Vietnam and one that combines both: Northern Thailand, Southern Islands, Thailand Classic, Thailand Heritage, Thailand Luxury, Thailand Balance, Thailand Beach and Culture, Thailand Adventure, Vietnam Heritage Route, Vietnam Express, and Thailand and Vietnam Combined. Each shows the routing, the shape of the days and the standard of accommodation. What the pack deliberately does not contain is a price list, because ground costs move with season, group size and hotel allocation, so any figure printed into a PDF would be stale or padded by the time you used it. The combined programme runs fifteen nights with one border crossing.

What does registering as a trade partner involve?

Registration is how net rates are issued, and it is neither paid nor gated behind a minimum volume. In practice it means we know who you are and which market you sell into: your company name, your trading market, and a work email we can quote to. There is no annual fee, no exclusivity clause and no commitment to a number of bookings. What it changes is the rate you see. Registered partners receive net rates, and each quotation states the currency and tax treatment. A net rate is your buying price from us and can include our operating margin; your agency sets its own selling price. Tell us how you want client communication and your branding handled, and we agree the arrangement with you before each programme runs. Downloading this pack does not register you. Sending a brief does.

What happens after I download the pack?

You get the pack immediately and a copy by email. There is no drip sequence and no sales call. When you are ready, send a brief through the enquiry form and choose the trade route. After we receive a complete brief, we provide a costed quote by the same time on the next business day. Complex multi-country or peak-season requests may take longer; we state the revised deadline when we acknowledge the request. Include the destinations, travel dates or a dated window, traveller numbers, hotel standard and services you need us to operate. Add the rooming split and any flights already booked. If something material is missing, we ask a specific question before costing. A brief for a real programme gives us a useful starting point for discussing how we can work together.

Can I show the sample itineraries to my own clients?

Yes, and that is what they are for. Use them to open a conversation with your client. Each sample is a starting route. It is not a record of past departures or a fixed departure we sell. The samples carry no prices on purpose. The rate depends on the season, the group size and the hotels allocated at the time, so a printed figure would mislead your client and tie your hands on price. We do not run fixed-departure coach tours, and we are not an online booking platform. Every programme we quote is built to the brief you send, which makes a sample a shape to react to, not a catalogue to order from. For material to use in a client proposal, talk to us about the format you need. Reuse of the photos and other material is subject to the rights and credits stated in the documents.

What are Pai Dai DMC's payment terms?

Your programme's payment terms are the ones in its quotation and booking documents; we do not publish a general schedule. Those documents name the company you pay and contract with and set out the currency, tax treatment, bank charges, deposit and balance amounts and dates, quote validity and cancellation conditions. Supplier deadlines vary by hotel, cruise, season and service, so one programme can carry several dates, and the quotation flags any supplier that needs payment earlier than the rest. If a service is still on request, find out when its price becomes firm and what payment keeps the option open. A payment request does not by itself prove that a room or seat is held. Before you send funds, get written confirmation of what is held, what the payment secures and when the next amount falls due, and agree any change to the schedule in writing.

How long do you hold rooms before releasing them?

There is no standard number of days: it depends on the hotel, the dates, the group size and the booking arrangement. A hotel named in an itinerary or quotation is not a hold. Rooms are on request, optioned or confirmed, and an option is a time-limited hold that the property has accepted. Once an option is in place, you should have it in writing, with the property, room category and quantity, stay dates, expiry, and the payment, rooming list or names needed to keep it. The quotation or confirmation for your booking states that expiry and any release date the hotel sets for unsold rooms; those are the deadlines that bind you, not a general rule by country or room count. A release date can move when numbers or room types change, and peak periods may need an earlier decision, so recheck the status before promising the rooms to travellers.

What happens if something goes wrong during a tour?

Every active programme has a 24/7 emergency contact, along with its own operating contacts and escalation route, all set out in its booking documents. Before departure, the tour leader and guide should have the name and number of the local contact for each destination, an alternative if that person cannot be reached, the hours the agreed service covers and the out-of-hours arrangement. They should also know who can authorise a change, substitute a service or approve an extra cost. Our 24/7 emergency line is +84 869 624 553 on WhatsApp. In a safety emergency, call local emergency services first, then that line or the 24/7 contact named in your booking documents. Response arrangements are confirmed for each trip, and no universal response time is promised here. A missed pickup, a medical incident and a change in the weather each call for different decisions; whatever is agreed on the ground should be recorded in writing and passed to your agency.
