On a private circuit, one more traveller after confirmation is not one more per-person price. Rooms, train berths, cruise cabins, vehicles, tickets and activities each run on their own rules, and a change that suits one of them can unsettle another.

This is a planning example, not a report of a trip run for a client. It works from two published sample routes and does not promise that a late change can always be met. Suppliers, dates, availability and prices are confirmed in a quotation.

Start from the base route

Both sample routes run south to north, so the trip moves from Saigon through central Vietnam to Hanoi and the bay. Vietnam Heritage Route takes nine nights: two in Ho Chi Minh City, two in Hoi An, one in Hue, two in Hanoi, one aboard an overnight junk on Ha Long Bay and a last night back in Hanoi. Vietnam Express takes eight and skips Hue. Both fly Ho Chi Minh City to Da Nang. The Heritage Route then crosses from Hoi An to Hue by road over the Hai Van Pass and flies from Hue to Hanoi, while the Express flies from Da Nang to Hanoi.

The night on Ha Long Bay aboard an overnight junk is in both routes. An overnight train is in neither. If a group asks for one, weigh the departure and arrival times, access to the berths, luggage, the state people arrive in, and the hotel night the train replaces. A sleeper cabin holds a fixed number of berths, so one more traveller can mean another cabin or a split group.

What one more traveller changes

Before anyone says yes, recheck every component the new traveller touches.

Component What to recheck
Rooms Twin, double, single or an extra bed, and whether that room type is still available
Train berths and cruise cabins Availability, and whether the new traveller can be near the group
Vehicle Seats, luggage space and any extra escort
Flights Seat, fare, baggage allowance and ticket rules
Activities Capacity, group-size limits and guide language
Price The new total, the per-person basis and the payment deadlines

On these two routes, start with the junk night. In December and January, group cabin space on the better Ha Long Bay junks tightens faster than in the rest of the year, and so do boutique rooms in Hoi An. A cabin found for one more person may not sit beside the others. The domestic flights are more tickets to add, each with its own fare and baggage rules. Kayaking on the bay and a cooking class in Hoi An have capacities of their own.

Check the price line twice. Shared costs such as the vehicle and the guide can be spread across one more person, while a single room or an extra cabin brings its own charge. The per-person figure can move either way. Agree the new total before the client hears a new price.

Get supplier confirmation before telling the client that the traveller is accepted. If the same option is not available, the agency hears the alternatives and what they cost before anything is promised to a traveller.

Guiding across three regions

In both sample routes one licensed Vietnamese national guide covers the full route, with a local specialist for the Ha Long Bay cruise briefing. Spanish and English are the working languages, with others on request.

A private trip does not make any language automatically available. Name the language in the first brief and have it confirmed for each region and date. If guides change between regions, the quotation should say who hands over to whom, and how the group's needs pass from one guide to the next: dietary notes, mobility, and the traveller who joined late.

Record the version everyone works from

Once a change is accepted, the itinerary, passenger list, rooming list, price and supplier instructions must all match, and everyone works from the same version. Date each version, so an old rooming list cannot reach a hotel by mistake. If one service is still waiting for an answer, write that down too. Do not call the whole change done because one hotel said yes.

To cost either route for your group and dates, send a trade brief with the traveller numbers, rooming and the guide language you need. How we work with travel agencies explains registration and net rates.

FAQ

Can travellers be added after confirmation?

They can be requested. Whether a request can be met depends on availability, the suppliers' terms, the cost and the agency's approval. There is no guarantee of the same room category or rate as the rest of the group.

Will one guide cover the whole trip?

Only if that is agreed and available. The sample routes use one licensed national guide for the full route, but the quotation for your dates shows the guiding and the language region by region.

What does "private" mean here?

The services quoted as private are arranged for your group, within the scope the quotation sets out. A private cabin on a junk or a train is not an exclusive boat or train, and other passengers can be aboard unless the quotation reserves the whole boat for your group.

Can the circuit be extended?

Yes. Cambodia & Vietnam adds four nights in Siem Reap and Phnom Penh before the Vietnam leg, and the circuit can also pair with Thailand: how many days you need for Thailand and Vietnam covers the split. The operator and handover for a Cambodia leg are confirmed in the quotation.

Is this a trip Pai Dai has run?

No. It is a planning example built on two published sample routes, and it does not describe a group or a change that took place. Use it to decide what to confirm before you accept a change for a client.

Planning Thailand or Vietnam for a client?

After we receive a complete brief, we provide a costed quote by the same time on the next business day. Complex multi-country or peak-season requests may take longer; we state the revised deadline when we acknowledge the request.
